Privacy Policy

What we collect

When you book a call, fill out a form, or communicate with us, we collect the information you provide: your name, email address, phone number, company name, and details about your staffing needs. We also collect standard analytics data (pages visited, time on site, referring source) through cookies and similar technologies.

How we use it

We use your information to match you with suitable assistant candidates, communicate about our services, process payments, and improve our service. We do not sell, rent, or share your personal information with third parties for their marketing purposes.

Third-party services

We use a limited number of third-party services to operate our business: Cal.com for scheduling, Stripe for payment processing, and standard analytics tools for website performance. Each of these services has their own privacy policy governing how they handle your data.

Your assistant’s access

When we place an assistant with your company, they will have access to the systems and information you choose to share with them (QuickBooks, email, permit portals, etc.). OffloadCrew requires all assistants to sign confidentiality agreements. You control what your assistant can access, and you can revoke access at any time.

Data retention

We retain your contact information and service records for the duration of our business relationship and for a reasonable period afterward for accounting, legal, and communication purposes. You can request deletion of your data by emailing us.

Your rights

You can request access to, correction of, or deletion of your personal information at any time by contacting us at hello@offloadcrew.com. We will respond within 30 days.

Terms of Service

What OffloadCrew provides

OffloadCrew is a managed staffing service. We source, vet, and place virtual assistants with construction companies, builders, and trades businesses. We are not an employment agency — your assistant is not your employee. OffloadCrew manages the relationship with the assistant, including compensation and performance oversight.

Your responsibilities

You agree to provide your assistant with the system access, information, and direction they need to do their job. You agree to communicate directly with your assistant about task priorities and expectations. You are responsible for the accuracy of information you provide to your assistant (financial records, permit applications, client communications, etc.).

Billing and payment

Services are billed monthly in advance. Payment is due on the date specified in your service agreement. We accept major credit cards and ACH transfers. If payment is not received within 14 days of the due date, we reserve the right to pause your assistant’s services until the balance is resolved.

Trial period

New placements include a two-week trial period. During this time, you can assess whether your assistant is the right fit. If you’re not satisfied, let us know before the trial ends and we will source replacement candidates at no additional cost. See our Refund Policy below for details on trial-period billing.

Replacement guarantee

If your assistant isn’t working out after the trial period, we will replace them within one week at no extra cost. We want every placement to work. If we can’t find a suitable replacement, we will work with you to find a resolution, which may include a service credit or termination of services.

Confidentiality

All assistants placed by OffloadCrew sign confidentiality agreements. We take the security of your business information seriously. That said, you should exercise the same judgment in sharing sensitive information with your assistant as you would with any new hire — start with what they need and expand access as trust is established.

Limitation of liability

OffloadCrew provides staffing services. We are not liable for errors made by your assistant in the course of their work, including but not limited to incorrect data entry, missed deadlines, or miscommunication with your clients or vendors. Our total liability is limited to the fees you’ve paid in the most recent billing period.

Termination

Either party can terminate services with 14 days written notice. Upon termination, you will be billed for services rendered through the end of the notice period. Your assistant’s access to your systems should be revoked upon termination — we’ll help coordinate this transition.

Refund Policy

During the trial period

If you cancel during the two-week trial period, you will only be charged for the time your assistant worked, prorated from your monthly rate. The remainder will be refunded within 10 business days.

After the trial period

Services are billed monthly in advance and are generally non-refundable once the billing period has begun. If your assistant becomes unavailable due to circumstances on our end (illness, resignation, etc.), we will provide a replacement as quickly as possible and credit your account for any days without coverage.

Replacement vs. refund

If you’re not satisfied with your assistant’s performance, we strongly encourage using our replacement guarantee before requesting a refund. Most issues can be resolved with a better-matched assistant. If we’ve attempted a replacement and you’re still not satisfied, we’ll work with you on a fair resolution, which may include a prorated refund or service credit.

How to request a refund

Contact us at hello@offloadcrew.com with your account details and the reason for your request. We’ll respond within 2 business days. Approved refunds are processed within 10 business days and returned to your original payment method.
